What Is a Work Order?
A work order is the job record your team carries into the field. It defines the work, authorizes it to start, assigns who will do it, and later documents what was completed. It answers practical questions: what is the job, where is it, who requested it, who is assigned, and what should happen before anyone leaves the site.
A typical sequence is request, authorize, assign, perform, document completion, and then invoice separately if payment is required. The work order sits in the middle of that sequence. It is not the quote that proposed a price, and it is not the invoice that asks to be paid.
Service businesses use work orders for HVAC, plumbing, electrical, maintenance, repair, installation, and cleaning jobs. The same idea applies whenever a request has to become a scheduled visit with a written scope. Usage varies by trade and by company, so treat this as a practical description, not a legal requirement.
Use the work order generator above to fill in the form, review the live preview, and download a PDF. This page does not manage a crew calendar, dispatch technicians, or store the file in the invoice dashboard.
What a Work Order Includes
Use this as a checklist of what this work order form supports, not as a rule for every industry. Required generation fields are the work order number, date, service provider, customer, and job description. Everything else can stay blank when it does not help the job.
Work order details — number, date, and optional status and priority. Status and priority help a dispatcher see whether the job is open, scheduled, in progress, or completed, without turning the document into software.
People — service provider and customer, with optional phone and email, plus requested-by and assigned-to names so the crew and the office can see who asked for the visit and who is on site.
Location and references — a job address when the work is not at the customer's mailing address, plus an optional PO number and customer reference. A work order can mention a purchase order without becoming one.
Scheduling and work — scheduled and completion dates, the job description, instructions for the technician, and work-completed notes after the visit.
Materials and services — optional rows with SKU, description, quantity, and unit. You can generate a valid work order with no item rows. This format does not include rates, amounts, tax, discounts, or a total.
Completion — optional technician and customer signatures, plus a logo if you add one. Signatures record who signed the job; they are not a payment authorization on this page.
Work Order Example
The sample below uses the same layout as the live preview. It is a fictional HVAC visit: Cedarline HVAC in Denver is diagnosing a condenser that runs but does not cool at Priya Nair's home in Lakewood. It is not a real customer document, and it does not include prices.
Work Order
| SKU | Description | Quantity | Unit |
|---|---|---|---|
| CAP-455 | Dual run capacitor 45/5 µF | 1 | ea |
| NIT-05 | Nitrogen for leak check | 1 | cyl |
| FIL-2025 | Pleated filter 20x25x1 | 1 | ea |
Read the sample from top to bottom:
- Identity — WO-48219, dated 15 September 2026, status In Progress, priority High.
- Provider and customer — Cedarline HVAC in Denver; Priya Nair in Lakewood, with phone and email on both sides.
- Job address — 418 Oakridge Lane, a different street from the customer block, so the crew has the site, not only the mailing address.
- Assignment and references — requested by Priya Nair, assigned to Marcus Hale, PO-18420, and customer reference JOB-LAKE-0926.
- Work — the cooling complaint, lock-out instructions, three optional material rows (capacitor, nitrogen, filter), and notes on what was completed, with technician and customer signatures.
Work Order vs Purchase Order
The two documents can appear in the same job, but they answer different questions. A purchase order is how a buyer authorizes a purchase from a supplier. A work order is how a business defines, authorizes, and assigns a job or service to be performed.
If the customer already issued a PO for the visit, you can record that number on the work order. That reference does not turn this PDF into a purchase order, and it does not replace the purchase order generator.
| Topic | Work Order | Purchase Order |
|---|---|---|
| Purpose | Define, assign, and record a job or service. | Authorize a purchase from a supplier. |
| Created by | Usually the service business, dispatcher, or technician preparing the visit. | The buyer, sent to the supplier. |
| Focus | What work will be done, where, and by whom. | What will be bought, in what quantity, and at what price. |
| Typical contents | Job description, assignment, schedule, optional materials, completion notes. | Buyer, supplier, line items with quantities and prices, delivery details. |
| Financial role | None on this page. No rates, tax, or total. | Records the authorized purchase amount. |
| Relationship to the job | The working document for the visit itself. | May be referenced on a work order when the customer already authorized spend. |
Work Order vs Invoice
A work order defines, authorizes, assigns, and documents the work. An invoice requests payment for goods or services. Keep them separate so a technician's job sheet is not mistaken for a bill.
A work order generated here does not contain prices, tax, discounts, or payment totals. If the completed job needs to be billed, create an invoice separately with the invoice generator. This tool does not convert a work order into an invoice.
| Topic | Work Order | Invoice |
|---|---|---|
| Purpose | Authorize and record the job. | Request or record payment. |
| Timing | Before and during the visit; updated when work is completed. | Usually after the work, when you are ready to bill. |
| Main information | Scope, site, assignment, instructions, completion notes. | Line items with rates, amounts, and a total due. |
| Financial information | None on this generator. | Prices, tax, discounts, and payment totals. |
| Typical next step | Finish the job, then bill separately if needed. | Send the invoice. This page does not create that document. |

Work Order Template
A useful work order template has a clear title, a document number and date, provider and customer blocks, space for the job address and assignment, a description of the work, an optional materials table, and room for completion notes and signatures. This page is that template in the browser: a free work order form you fill in, preview, and save as a PDF.
You do not need a separate blank Word or Excel file. Customize the details for each job, leave unused optional fields empty, and download the work order when the preview looks right.
Download a Work Order as a PDF
Complete the form, review the preview, then choose Generate Work Order. The work order PDF opens in the success dialog so you can view, download, or share it. The file uses the operational fields from the preview. It does not add financial totals, and it is a practical job document rather than a certified legal form.
Frequently Asked Questions
What is a work order?
A work order is an operational document that defines, authorizes, assigns, and records a job or service. It typically names who is doing the work, who requested it, where it will happen, and what should be completed. It is not a bill. This page creates a work order PDF, not an invoice or a purchase order.
What is a work order used for?
Teams use a work order to turn a request into a clear job: approve the scope, assign a technician, schedule the visit, list optional materials, and note what was finished. HVAC, plumbing, electrical, maintenance, repair, installation, and cleaning work are common uses. Practices vary, and a work order is not required in every industry.
What should a work order include?
This generator supports a work order number and date, optional status and priority, service provider and customer details, job address, requested-by and assigned-to names, optional PO and customer references, schedule dates, a job description, instructions, optional materials, work-completed notes, and signatures. Materials are optional. This format does not include prices, tax, discounts, or payment totals. Other businesses may use different fields.
How do you create a work order?
Fill in the form above with the work order details, parties, job description, and any optional materials or schedule dates. Review the live preview, then choose Generate Work Order to download a PDF. No account is required. The generator does not convert the document into an invoice.
Is a work order the same as a purchase order?
No. A purchase order is issued by a buyer to authorize a purchase from a supplier. A work order defines and assigns a job to be performed. They can appear in the same workflow—for example, a work order may list an optional PO number—but one does not replace the other. Use the purchase order generator when you need to authorize a purchase.
Is a work order the same as an invoice?
No. A work order records and authorizes the work. An invoice requests payment. A work order generated here does not include prices or financial totals. If the completed job needs to be billed, create an invoice separately with the invoice generator. This page does not convert a work order into an invoice.
Can a work order be used for services?
Yes. Work orders are commonly used for service jobs as well as repairs and installations. You can describe the work in the job description and instructions. Materials and service rows are optional, so a work order can be valid with no item lines.
Can I create a work order as a PDF?
Yes. Review the live preview, then choose Generate Work Order. You can view the work order PDF and download or share it without creating an account. The PDF uses the same operational fields as the preview and does not add prices or payment totals.
Is this work order generator free?
Yes. This page is a free work order generator and a fillable work order template. Complete the form, review the preview, and download a PDF. No account is required. This page does not save the document to the invoice dashboard.
Who creates a work order?
It depends on the business. A dispatcher, office manager, technician, or the customer-facing team may create it after a request is reviewed. This generator lets whoever is preparing the job fill in the form and download the PDF. It does not assign users, track a crew in software, or replace a job-management system.
