A commercial invoice is a document the exporter issues for an international shipment. It names the seller and the buyer, lists the goods with quantities and prices, and shows the invoice total.

Shipping teams often send a commercial invoice with the goods so the shipment can be processed. It is still an invoice, but its job is also to describe what is being exported. It is not a customs form for every country or carrier.

Start with the exporter and importer, add the goods, then download a professional commercial invoice PDF. Optional ship-to, payment terms, due date, tax, and freight are available when the shipment needs them.

Line descriptions can include an HS code and country of origin as plain text. Terms can include Incoterms such as FOB Mumbai. This page does not calculate customs duty or convert currencies.

Use this as a practical checklist of what this generator supports, not as a legal minimum:

• Exporter and importer — who is sending the goods and who is buying them, with country in the address.
• Invoice identification — title, number, date, optional due date, currency, and payment terms.
• Ship To — an optional delivery address when the consignee differs from the importer.
• Goods — description, quantity, unit price, and line amount. Origin or HS details can go in the description.
• Totals — subtotal, tax or VAT where it applies, freight when a ship-to address is present, and the total.
• Notes, terms, and signature — reason for export, Incoterms, and an optional signature.

The sample below uses the same Custom layout as the live preview. It is a fictional export from Maple Textiles Pvt. Ltd. in Ahmedabad to Harbor & Pine Apparel in the United States.

Read the sample from top to bottom:

• Invoice number — CI-10482.
• Invoice date — 14 September 2026, with due date 14 October 2026 and payment terms Net 30.
• Exporter and importer — Maple Textiles in India; Harbor & Pine Apparel in Boston.
• Ship To — Warehouse 4 in Newark, which is not the importer's Boston address.
• Line items — 100 cotton shirts at $8.50 ($850), 40 trousers at $14 ($560), and 50 tote bags at $3.20 ($160).
• Freight and total — freight $80 because Ship To is present. Subtotal $1,570, tax $0, total $1,650. There is no amount paid or balance due on this document.

A regular invoice is often used to bill a customer for payment. A commercial invoice is still an invoice, but it is also used to describe goods in an international shipment. Not every business uses the same sequence of documents.

1. Enter the exporter name and address, and add a logo if you want one.
2. Add the importer name and address.
3. Enter the invoice number and invoice date. Auto can fill a number with a CI- prefix.
4. Add a due date and payment terms if they apply.
5. Add a Ship To address only if delivery is not to the importer.
6. Add goods, with quantity, unit price, and an optional line discount.
7. Add tax or VAT if it applies, and freight if Ship To is filled.
8. Add notes or terms such as Incoterms if the shipment needs them.

The document title is Commercial Invoice. Invoice Number and Invoice Date identify the file. Due Date and Payment Terms are optional. Exporter sits opposite Importer. Ship To appears when you enter a delivery address. The summary ends on Total, not a remaining balance.
