What Is an Estimate?
An estimate is a document that outlines the expected cost of goods or services before the work is completed. It is a written preview of pricing so a customer can decide whether to go ahead.
A typical business estimate lists what you propose to supply, with quantities, rates, and an estimated total. Discounts and tax can be included when they apply. The document is not a final bill. After the work is agreed and delivered, you would issue an invoice separately.
How an estimate is treated in contracts or accounts can depend on the business and jurisdiction. Treat this as a practical description, not legal or tax advice. Use the generator above as an estimate maker: fill in the form, review the live preview, and download a PDF.
Estimate Example
The sample below uses the same Custom layout as the live preview above. It is a generic example, not a claim about a real client engagement. Northstar Design Studio is proposing website design, brand identity, and content setup for Greenfield Coffee Co.

Estimate
Northstar Design Studio 214 Market Street Denver, CO 80202
Greenfield Coffee Co. 90 Pine Street Boulder, CO 80302
| Description | Quantity | Rate | Discount | Amount |
|---|---|---|---|---|
| Website design | 1 | USD 1800.00 | 0% | USD 1800.00 |
| Brand identity | 1 | USD 950.00 | 0% | USD 950.00 |
| Content setup | 12 | USD 85.00 | 0% | USD 1020.00 |
Read the sample from top to bottom:
- Estimate number β EST-10482 identifies this document.
- Estimate date β 14 September 2026.
- Valid until β 12 October 2026, after which the proposed pricing may need a new estimate.
- Line items β website design $1,800, brand identity $950, and 12 hours of content setup at $85 ($1,020).
- Tax β 10% overall tax adds $377.
- Estimated total β $4,147. There is no amount paid or balance due on this document.

Estimate Template
An estimate template is a ready estimate form you complete instead of starting from a blank page. The Custom layout in the generator above is that template: a fillable estimate you preview live and download as a PDF. The same layout covers a free estimate template, a service estimate, and a general business estimate. You do not need a separate download.
The document opens with the title Estimate, then an estimate number and estimate date. Valid Until is optional; add it when the pricing should expire. Your business details sit opposite the customer. Line items describe the goods or services, with quantity, rate, and an optional line discount. Overall tax can be added when it applies. The summary ends on Estimated Total, not a remaining balance.
Notes are for project details. Terms are optional conditions for this estimate. A signature is optional. Payment terms, amount paid, and balance due belong on an invoice, not on this estimate format.
Customize the fields that match the project. A typical estimate may not need every optional line. Nothing here is a universal legal requirement.
How to Create an Estimate
Use the estimate maker on this page. The steps match the fields that are actually available:
- Enter your business name and address, and add a company logo if you want one.
- Add the customer name and address.
- Enter the Estimate Number and Estimate Date. Auto can fill a number with an EST- prefix.
- Add a Valid Until date if the pricing should expire. Leave it blank if not.
- Choose a currency.
- Add products or services, with quantity, rate, and an optional line discount.
- Add overall tax if it applies. Review the estimated total in the form.
- Add notes or terms if the project needs them.
- Add a signature if you want it on the document.
- Review the live preview, then choose Generate Estimate to download the PDF. No account is required.
Ready to bill after the work is accepted? Create an invoice separately. For a walkthrough of that document, see how to create an invoice.
What Should an Estimate Include?
Use this as a practical checklist of what this generator supports, not as a legal minimum. Group the information by job:
- Identifying information β estimate title, number, and date so you can file the document.
- Parties β who is issuing the estimate and who the customer is.
- Pricing details β descriptions, quantities, rates, discounts where they apply, tax where it applies, and the estimated total.
- Validity and project context β an optional valid-until date, plus notes that explain the proposed work.
- Notes and terms β extra detail and any conditions you want on this estimate. A signature is optional.
Skip optional lines that do not belong on that project. Requirements can differ by country and industry.
Estimate Format
Most business estimates follow a simple layout. The header names the document and shows the estimate number, date, and optional valid-until date. Business and customer information come next. Line items sit in the middle. Discounts and tax, when used, feed the estimated total. Notes, terms, and a signature close the page if you add them.
That format is what the Custom preview uses. You can adapt the wording and which optional rows you fill, depending on the industry and workflow. This page does not add construction-specific or other industry layouts. The same estimate form works for services and other general business work.
Estimate vs Quote
There is no single legal line that every business uses to separate an estimate from a quote. In everyday use, an estimate often communicates expected or approximate pricing. A quote often communicates a more specific price for a defined scope of work. The meaning, and whether either document is binding, can depend on the business, the industry, and the jurisdiction.
This tool creates an estimate. It does not create a quote, and it does not convert an estimate into a quote or an invoice.
Estimate vs Invoice
An estimate is prepared before work or payment. It communicates expected pricing so the customer can evaluate the proposed work. An invoice requests payment for goods or services already supplied, or otherwise billed, and records an amount due.
| Topic | Estimate | Invoice |
|---|---|---|
| Timing | Before the work is agreed or completed. | When you bill for work or goods. |
| Purpose | Expected pricing for proposed work. | Request or record of money owed. |
| Typical total | Estimated total. No balance due on this page. | Amount due, often with payment terms. |
To bill after the work is accepted, use the invoice generator. For invoice structure, see what an invoice includes.
Frequently Asked Questions
What is an estimate?
An estimate is a document that outlines the expected cost of goods or services before the work is completed. It lists what you propose to do, the quantities and rates, and an estimated total so the customer can review the pricing first.
What should an estimate include?
A typical estimate includes your business details, the customer, an estimate number and date, the goods or services with quantities and rates, and the estimated total. You can add a valid-until date, tax, discounts, notes, terms, and a signature when they apply. Local expectations vary.
Is an estimate the same as a quote?
Not necessarily. Businesses often treat an estimate as expected or approximate pricing and a quote as a more specific price for defined work. The meaning and any legal effect depend on the business, industry, and jurisdiction. This page creates estimates, not quotes.
Is an estimate the same as an invoice?
No. An estimate is prepared before work or payment and communicates expected pricing. An invoice asks for payment and records an amount due. After the customer accepts the work, you would create an invoice separately.
Can I create an estimate for free?
Yes. This page is a free estimate generator. Fill in the form, review the live preview, and download a PDF. No account is required.
Can I download an estimate as a PDF?
Yes. Review the preview, then choose Generate Estimate. You can download the PDF without creating an account.
How long should an estimate be valid?
That is a business decision. Some teams use 14 or 30 days; others leave the date off. This generator has an optional Valid Until field. If you set it, it appears on the document. If you leave it empty, that row stays off the preview.
Can I include tax and discounts on an estimate?
Yes. Each line item can have a discount percentage, and you can add overall tax when it applies. The estimated total updates in the form and the preview.
