What Is a Receipt?

A receipt is a document that confirms payment has been received. It records who paid, what was paid for, how it was paid, and the amount received. Once money has changed hands, the receipt is the written proof of that payment.

A payment receipt and proof of payment receipt describe the same idea: the customer no longer owes that amount because you have already been paid. A cash receipt is simply that record when the method is cash. A service receipt covers work already performed and paid for, such as consulting, repairs, or maintenance. An itemized receipt lists each product or service, with quantity and rate, instead of a single unexplained total.

This receipt generator creates that kind of paid-in-full record. Cash, card, and bank transfer all use the same itemized document; only the payment method changes. It is not an invoice, and it is not a request for remaining balance. Use it when you need a professional receipt form you can fill in, preview, and download as a PDF.

Receipt Example

The sample below uses the same Custom layout as the live preview above. It is an example receipt for a paid service, not a copy of a store or brand receipt. Harbor & Pine Studio received cash from Maya Chen for website maintenance that had already been billed on invoice INV-3810.

Read the sample from top to bottom:

  • Receipt number β€” REC-10482 identifies this document.
  • Received from β€” the payer who made the payment.
  • Itemized line β€” website maintenance, quantity 1, rate $250.
  • Payment method β€” Cash.
  • Tax β€” 10% overall tax adds $25.
  • Amount received β€” $275, the paid-in-full total. There is no balance due on this document.
  • Notes / reference β€” a pointer back to the original invoice, stored as a note rather than a separate field.

You can recreate a similar payment receipt in the form above, then download your own PDF.

Receipt Template

A receipt template is a ready receipt format you complete instead of starting from a blank page. The Custom layout in the generator above is that template: a fillable receipt form that becomes the PDF you download.

The document opens with a receipt title, then a receipt number and date so you can file it with the rest of your payment records. Your business information sits opposite the payer, labeled Received From. Line items describe what was paid for, with quantity, rate, and an optional line discount. You can add overall tax when it applies. The summary ends on Amount Received, not a remaining balance.

Payment method is part of the receipt format. Choose cash, card, bank transfer, check, PayPal, or other before you generate the document. Notes / reference is the place for an invoice number, job reference, or other filing detail. A signature is optional.

Currency sits with the receipt number and date so the amount received is unambiguous. The live Custom preview is the same receipt format captured in the PDF. If you edit a label in the preview, that wording is what appears on the download.

This layout does not include invoice-only rows such as due date, payment terms, or balance due. Those belong on an invoice, which asks for money still owed. Use the fields that match the payment you actually received.

How to Create a Receipt

Use the receipt maker on this page. The steps match the fields that are actually available:

  1. Enter your business name and address, and add a company logo if you want one.
  2. Add the payer in Received from.
  3. Enter the Receipt Number and receipt date, and choose a currency. Auto can fill a number for you.
  4. Choose a payment method, such as cash, card, bank transfer, check, PayPal, or other.
  5. Add line items for the goods or services that were paid for, with quantity, rate, and an optional line discount.
  6. Add overall tax if it applies. The form shows Amount Received as the total.
  7. Use Notes / reference for an invoice number or other filing detail if you need one.
  8. Add a signature if you want it on the document.
  9. Review the live preview, then choose Generate Receipt to download the PDF. No account is required.

Still need to bill someone who has not paid yet? Create an invoice first, then issue a receipt after the payment arrives.

When Should You Issue a Receipt?

Issue a receipt after you have received the customer’s payment. The document is for money already collected, not for an amount that is still outstanding.

Typical business situations include:

  • A customer paid for goods at the time of sale.
  • You collected cash and need a cash receipt for both of you to keep.
  • A client paid for a completed service and wants written confirmation.
  • An earlier invoice has been paid and you need proof of payment on file.
  • You are documenting customer payments for your own books and records.

A receipt helps the payer show that they paid, and it helps you keep a consistent payment history. If you already sent an invoice, the receipt is the follow-up document once that invoice is paid in full. You can note the invoice number in Notes / reference so both records stay linked.

Whether you must issue a receipt, and what local rules expect, can depend on the transaction and jurisdiction. This page is a practical tool, not legal or tax advice.

Receipt vs Invoice

An invoice is a request or record of money owed. A receipt is confirmation that payment has been received. Send the invoice before payment. Issue the receipt after payment.

What Information Should a Receipt Include?

Use this as a practical checklist of fields this receipt generator supports, not as a universal legal requirement. Depending on the payment and your own records, a receipt may include:

  • Receipt title β€” so the document is clearly a receipt.
  • Receipt number β€” a unique reference for filing.
  • Date β€” when the receipt was issued or the payment was recorded.
  • Business information β€” who received the payment.
  • Received from / payer β€” who made the payment.
  • Payment method β€” cash, card, bank transfer, or another method you selected.
  • Line items β€” description, quantity, and rate for each paid item.
  • Discounts and tax β€” when they apply to the payment.
  • Amount received β€” the paid-in-full total.
  • Notes / reference β€” an invoice number or other filing detail.
  • Signature β€” optional, if you want it on the PDF.

You do not have to fill every optional line. Include what belongs on that payment. Requirements can differ by country, so follow your own bookkeeping process.
